Volunteer Position Descriptions

Title: CAP Centre Monitor

Purpose of the Position

The volunteer is to ensure that the CAP Site, to which you are assigned, is open and ready for use by clients. The CAP Centre Monitor is also to ensure the safety of site equipment and its patrons. It will also be required that the Monitor provide one to one computer training and assistance.

Principal Duties and Responsibilities

  1. Ensure the CAP Site space and equipment is available for CAP site clients.
  2. Open and/or close the CAP centre in line with the regulations of building use.
  3. Assist clients with computer, software, and Internet questions.
  4. To answer questions from the public about the centre
  5. Collect user statistics and maintain appropriate records as identified by KLCAP
  6. Maintain the appearance of the CAP Site.
  7. Notify the Program Manager of any needed equipment repairs or technical issues.
  8. Replenish office supplies as needed. 

Knowledge, Skills and Abilities Required

  1. Familiarity with the Internet, email, and MS Office Products.
  2. Competence in the use of a computer.
  3. Strong interpersonal skills and an approachable manner.
  4. Ability to communicate and to use tact and diplomacy to handle sensitive issues.
  5. Organizational skills are essential.

Parameters

  1. Must comply with all TAG policies and procedures regarding volunteering, operation and appropriate use of CAP Site equipment, and confidentiality.
  2. Will be scheduled for volunteer shifts during hours when the CAP centre is operating.

Time Commitment

  • Must be available for a three to four hour shift, to be negotiated with the KLCAP Program Manager.

Title: CAP Site Team Coordinator

Purpose of the Position

To schedule and coordinate volunteers, at the CAP Site to which the Team Coordinator is assigned. To act as a contact point in the community for CAP Site volunteers to deal with issues or concerns. To communicate, to the Program Manager, any issues or concerns as they arise and to submit all site reporting in a timely fashion.

Principal Duties and Responsibilities

  1. Schedule and coordinate volunteer shifts for CAP Centre Monitors assigned to CAP Site.
  2. Ensure that CAP Centre Monitors are completing shifts and follow CAP Site regulations.
  3. Act as the central contact point for CAP Centre Monitors and provide assistance when needed.
  4. Collect and submit volunteer statistics and maintain appropriate records as identified by KLCAP.
  5. Communicate with the Program Manager on a regular basis regarding volunteers and any needed equipment repairs or technical issues.

Knowledge, Skills and Abilities Required

  1. Familiarity with the Internet, email, and MS Office Products.

  3. Outstanding leadership skills.
  4. Strong interpersonal skills and an approachable manner.

Time Commitment

  • This position will require two to three hours each week. This position is not required to be at the CAP site during operating hours. However, the individual should be familiar with the site and the volunteers at the location.

Purpose of TAG Volunteer Program

The goal of the TAG Volunteer Program is to provide members of the community with a valuable volunteer experience. It is our hope that any TAG volunteer will leave with a sense of accomplishment and an enhanced skill set. It is the responsibility of the TAG administration to ensure that the volunteer process is enriching and that adequate training and supervision are provided.

Recruitment

TAG may from time to time undertake an active volunteer recruitment strategy that will use the media, special events and existing volunteer recruitment services. TAG remote locations are encouraged to recruit volunteers to staff their community requirements.

Application and Placement

Volunteers are required to complete a volunteer application in order to be considered for placement. After the application is submitted an interview will take place and references will be required by applicants. References will be checked in order to effectively screen applicants. After this point, an applicant will be accepted or rejected; a placement will be assigned through consultation with the Program Manager.

Orientation and Training

Orientation and training sessions are required. However, if an applicant has sufficient skill and ability these may be waived. Necessary information will be provided in an informal manner and session frequency will be based on intake. New volunteers are required to complete a two month probationary period in order to assess their fit with the program.

Evaluation

At the end of the two month probationary program, the volunteer’s performance will be evaluated by the Program Manager to ensure that service users, staff and the volunteer are happy with progress thus far. After this, evaluation will take place once every sic months. An exit survey should be completed at the end of the volunteer position.

Note: The volunteer self-assessment can be completed by email or mail. The volunteer assessment may be completed by the direct supervisor and shared over the phone, through email or by mail. The volunteer will receive a copy of their evaluation.

Supervisory Model

Volunteers will be supervised using a combination of information provided by the site advisor or host, volunteer mentors, the direct supervisor and the Program Manager. Each volunteer should mentor each other and see each other as a source of advice.

Recognition

TAG recognizes the important role that volunteers play in our community organization.

Recognition will take place throughout the course of the year. It is hoped that volunteers will feel truly appreciated and valued.

TAG Volunteer Policy - Duties and Responsibilities

Risk Management

TAG is committed to practicing effective risk management to protect the safety, dignity, and legal rights of others are well as our human, financial, and tangible assets.

Criminal Records Check

Volunteers will be required to provide a police record check as required by law, the Community Access hosting organizations or the discretion of the General Manager or Board of Directors, for the protection of our service users and the organization. Non compliance or issues arising from the records check may result in an assignment being refused at certain TAG locations.

Access to TAG Property and Materials

Volunteers shall have access to TAG property and materials necessary to fulfill their duties and shall receive training in the operation of any such equipment. Property and materials shall be utilized only when directly required for TAG purposes and shall be signed out according to TAG Administration Procedure.

Insurance

Liability and accident insurance is not provided to cover the cost of the accidental injury of volunteers engaged with the scope of TAG business. TAG volunteers should act in a reasonable fashion when dealing with situations that may result in bodily harm. TAG will endeavour to inform volunteers of any situations that may pose a risk to their safety and will deal with the risk promptly.

Board of Directors and volunteers are covered by Directors and Officers Liability Insurance.

Confidentiality

Volunteers are responsible for maintaining the confidentiality of all proprietary or privileged information to which they are exposed while serving as a volunteer. This is whether the information involves a single staff member, volunteer, service user or other person(s) or involves overall site business.

Volunteers will read and adhere to the TAG organization’s Privacy Policy.

Worksite

An appropriate worksite shall be established prior to the recruitment of any volunteer. This worksite shall contain necessary facilities, equipment and space to enable the volunteer to effectively and comfortably perform his/her duties.

Dress (Behaviour, Language) Code

As representative of TAG, volunteers are responsible for presenting a professional image. Volunteers shall dress, behave, and use language appropriate for the conditions and performance of their duties.

Problems

Any issues or concerns that arise should be brought to the direct attention of the volunteer by the Program Manager or vice versa.

Issues that may result in the dismissal of a volunteer will be brought to the direct attention of the General Manager.

Duty of Care

TAG volunteers are required to do what is prudent and reasonable, necessary and appropriate, to protect the service users, paid and unpaid staff and the community at large from harm that might come to them.

TAG is committed through its hiring and screening process to ensure that appropriate representatives are selected. Through this policy TAG is taking an active role in minimizing the harm that may come to any service user, volunteer or staff member. Accurate records will document any problems or concerns. If there is a question concerning a TAG representative's behaviour, it will be dealt with quickly and effectively and the appropriate parties notified.
